Terms and Conditions

We ask all our guests to please read our rules and the following Terms and Conditions before booking. We reserve the right to change these Terms at any time. Any such changes will take effect immediately when posted on the Website, at the Site, or otherwise brought to your attention. It is your responsibility to read the Terms each time you submit a Booking Request and any such request shall signify that you have accepted to be bound by the latest set of Terms and Conditions.

Responsibility

The person making the booking is responsible for the conduct of all the individuals in their party. Please ensure that you read this document. Failure to read and abide by it, is no excuse for breaching the following terms and conditions. By making a Booking Request you are deemed to have accepted these terms.  

Booking Conditions

We reserve the right to decline or terminate the booking of any customers whose party make up or behaviour may be or come to be a nuisance, danger or annoyance to others. In such instances no refunds will be offered. With this in mind our policy is not to accept large group bookings or bookings made for celebratory parties, unless prior arrangement has been made with the owners of the site. We do not allow stag or hen parties. 

Young Adult Groups

 

We are a family campsite, and do not allow groups of young adults/teens. Any groups turning up at the campsite will be turned away, and bookings will be cancelled with immediate effect. Any monies paid will be forfeited and no refunds will be issued.

Payment

At the time of booking a deposit, or full payment is required to secure your pitch. The remainder of your balance will be due 2 weeks before arrival. If the balance is not paid 7 days before arrival, then your booking will be cancelled, and your deposit will be lost.

Any bookings made within 2 weeks before arrival will require full payment on booking.​

Arrivals and Departures

Arrivals

Arrival times on-site are between 1pm and 7pm. Please avoid approaching the site before 1pm as there is no space for vehicles to wait in the yard/entrance area and you may be asked to leave and return at your correct arrival time.

An early arrival may be requested prior to arrival via email, and we will do our best to accommodate your request but this cannot be guaranteed.

If you do arrive early without prior arrangement, you may be given the option to access your pitch early (if available) at a surcharge of £5 per unit.

Please inform the Site Team if you are likely to arrive late.

 

Departures

You are expected to vacate your pitch for 11:00 am.  If you wish to delay your departure to later the same day, then you must check at reception whether this is possible, as your pitch may be busy.  An additional charge will be due.

Cancellations & Changes to your Booking

Amendments

 

You can make changes to your booking up to 14 days before your visit by logging in with your booking number and surname. After logging in, click on 'Amend Booking.' You can change the date, duration, choose a different pitch (if available), or add any extras. The system will calculate the new costs, taking into account what you've already paid.

 

You can only make changes if the new booking total is equal to or greater than the previous booking total – you cannot reduce the value of your booking. You can review the changes before confirming and paying any additional amount. Once the booking is updated, you'll get an email confirming the new dates.

Any requests to amend your booking less than 14 days before arrival must be put in writing and sent to us via email. Changes are accepted up to 7 days before arrival provided the cost of the revised booking is equal to or higher than that of the initial booking. It is not permissible to lower your bookings value. Any difference in price will be lost/forfeited.

 

Changes of date

 

Bookings will only be transferred to another date, if more than 7 days (1 weeks) prior notice is given. Any requests for alternative dates, must be booked in by the end of the current season September 30th, 2024. Unused bookings are not transferable to the following year and will therefore be lost. Any bookings changed from High Season to Low Season, will not receive any refund/s of difference in price.

 

Cancellations over 7 Days of Arrival

 

If more than 7 days notice is given the booking may be re-arranged to another available date within the current season or alternatively a refund can be given (minus your deposit, or 1 nights stay) No refunds will be issued for less than 7 days notice.

 ​

No Shows - If you fail to arrive on time at the start of your booking without satisfactory explanation or written cancellation being received, then you will be unable to transfer your booking and no refund will be payable. If the pitch is not occupied on the day of arrival (start date), then we reserve the right to re-let the pitch with payment forfeited.

 

If you leave site early for any reason Ingfield Farm Camping will not issue any refund/s for unused camping nights. 

 

Should circumstances beyond our control force us to cancel your holiday then we will offer you a full refund of your deposit or payment or make alternative arrangements for another time. Ingfield Farm Camping cannot be held responsible for poor weather conditions. However, if it is deemed too dangerous for camping, we will offer you an alternative date for your stay.​​

Weekends/Bank Holidays

Bookings made on a bank holiday weekend or on the weekends of our busier months of June, July and August will require a minimum stay of 2 nights. Single night bookings at these times are not accepted. Single night bookings however are accepted Sunday through to Thursday, and at weekends on our quieter months of the year.

Pitches

When making a booking, please provide accurate information regarding the type of unit and the occupants visiting. Pitches can be chosen when making a booking online, but may not always be available, as it is first come first serve and may be booked up. A ‘pitch’ is one-unit e.g. a caravan, tent, motorhome etc plus awning and one car (or vehicle), any additional vehicles will occur an additional charge. We allow a maximum of 6 occupants per pitch.

There may be occasions where we may need to move your booking to another pitch, so we are unable to guarantee your pitch number. This may be due to weather conditions, water logged pitches or damage to the pitch by previous occupants. In these instances, an alternative pitch will be allocated.

Additional Tents (Pup Tent)

Please be aware that additional tents can be no larger than 2.2 x 1.5m, and may only be used for up to two children (no adults) and must be erected within the confines of the pitch of the original unit. Only one additional tent per pitch is allowed, due to space restrictions.

Use of your accommodation

 

Only those people listed on the booking can occupy your accommodation and use the facilities. No caravan/motorhome/campervan/trailer tent or any type of tent are to be left unoccupied overnight at any time. Any which are found to be left unoccupied, will be removed from the pitch. Any exceptions eg for emergencies, or work commitments must be reported to the warden or owners of the site.

 

Visitors 

We welcome visitors to our site, but we kindly request that arrangements be made in advance. All visitors are required to prearrange their visit and must sign in at reception upon arrival. Each pitch can accommodate one visitor car, and charges will apply at the visitor’s rate. Any visitors wishing to stay the night must notify the reception, and an overnight charge will be made. Any individuals who fail to comply with these rules will be kindly asked to leave the site.​

Barrier system

Our park operates a barrier system, and requires customers and visitors to book in and sign in at reception to obtain a key fob. The barrier operates using a key fob, one key fob per vehicle.

These fobs must not be passed on, or used by anyone other than the person it was issued to. Extra cars, and visitors must also be signed in at reception and be issued their own key fob.

 

ON DEPARTURE KEY FOBS MUST BE RETURNED AND SIGNED OUT. FAILURE TO RETURN A KEYFOB WILL RESULT IN A £25 CHARGE TO THE CUSTOMERS CARD USED ON BOOKING.

 

Damages

 

Any person or persons caught damaging any property or goods, belonging to Ingfield Farm Camping including damage to the grass, walls, trees etc will be liable for costs to cover the damage incurred, and may be asked to leave the site. Any damages should be reported to the reception or owners of the site. Ingfield Farm Camping does not accept any responsibility for damage to customer or visitor’s personal property or vehicles.

 

Smoking, drugs and offensive weapons

We do not allow smoking of vaporisers, e-cigarettes and tobacco in our reception office or toilet and shower block. We have a zero-tolerance policy on illegal drugs, firearms and offensive weapons. The police will be informed if anyone is found taking or selling drugs or illegal substances, or are in possession of an offensive weapon, and will be asked to leave the park without any refund. 

Security

 

Whilst the general public are not allowed on site, and the site is monitored by CCTV, please make sure anything valuable is locked away in your caravan/motorhome, or safely locked away in the boot of your car. We cannot accept responsibility for loss, damage or theft of personal property.

Failure to abide by the rules of the campsite by any person or persons may result in the person/persons having to leave the site.
